is an initial stage to set up the practical
project plan, which considers all factors

project. The project objectives must

team members and management. Moreover,
the scope of work with role and responsibility
must be understood by each party to
enable effective team working. The
critical task is to form function leader
and working team, who has potential
to be system champion. The kickoff meeting
must be arranged to incorporate all
related person to get together to widely
communicate project commitment.

is a stage to gather existing business
process and important required data
match with company strategy or performance
indicators. The
workshop has to be arranged to draw
to be process by considering project
objectives as a core value. This process
is the most important process of the
project. Therefore, it needs concentration
from concerned person to provide feedback
and work together for better. Any
potential foresee implementation issues
need to be addressed and communicate
through the team. The work around solution
must be drafted and proposed to working

Design :
It is a stage to ensure whether the
to-be process is workable by conducting
prototyping session. This kind of session
needs fully involvement and two way
communication from related person to
approve the working procedure and interface.
Once,
the prototyping is presented and admitted,
the transition plan must be launched
for conversion preparation. Moreover,
there should have a process to draft
the contingency plan to cover unpredicted
situation. Therefore, the best case,
worst case is considered to form up
contingency plan, just in case.

It is a stage to prepare client’s specific
work instruction and be used as a tool
to conduct end user training with all
viable business scenarios. The hands-on
session is the selected approach to
ensure user understanding. The end session
testing is another process to recheck
and to verify user understanding.
•
After completing all user training sessions,
project managers and working team go
through the process of readiness evaluation.
The pending issues from training session
must be discussed and finalized solution.
•
It is a stage to run system integration
test with the purpose to rehearse and
confirm solution viability. This process
focuses to allow user to work with minimal
guidance in order to realize the understanding
of the new working procedure. •
During this stage, user is planned to
prepare master data according to transition
plan in the agreed format to upload
to the new system. The transition plan
must cover the plan to collect outstanding
data as a beginning balance. •
Then, the final readiness verification
must be done among working team. The
readiness check list is adopted to ensure
all critical items is considered and
well prepared. •
Technically, the support procedure is
discussed and communicated through all
users. The support procedure includes
the centralized support contact number
and method. The responsible person on
each area needs to be declared. The
infrastructure needs to be set up and
test to ensure its readiness. •
It is a stage to assist user to work
effectively in the new system. The problem
log sheet must be generated to ensure
the proper and synchronized solution
is offered to end users. The problem
log sheet benefits user in the future
to develop internal knowledge base.

The beginning balance is uploaded and
verified by end users. Once all beginning
balance and daily transaction is accomplished,
then the month end process is performed
to ensure the correctness of data integration.

to the steering committee. In case there
is issued cannot be solved among project
team, the steering committee will final
